Project Costs

The cost of the website will vary in cost depending on the level of functionality and design required, as well as the amount of content to be included. Below is a list of all initial setup/development fees associated with each aspect of functionality. So for your website, the costs beyond the basic website plan are entirely flexible. Further site development can be done all at once, or if budgetary concerns do not allow this, functionality can be added in the future on an “as needed/wanted” basis.

Details

The server-side development is necessary for every website developed. The basic Drupal or WordPress CMS installation and configuration will be done at this level, along with the most vital add-on modules for providing advanced functionality.

The web design/graphic design work phase develops the look of the site as required. You will require a basic unique visual appearance for your site. The setup of a chosen theme and modifications necessary to the color scheme and other visual aspects will also be necessary . Under the basic website plan, this will be kept to very simple design work, while still providing an appealing visual look. More advanced design modifications / graphic development can be done as needed for additional costs. The $400.00 price assumes that a free WordPress theme will be chosen from a library of thousands of themes available (premium themes will be billed for the amount of their cost only). Advice to narrow down the selection process can be provided. The work on this step entails modification of all the elements within the chosen theme to ensure a suitable color scheme, as well as other basic modifications to the look of various theme elements according to instruction.

Content programming for a basic site will include 10 pages of content. That may be enough for you, but you may wish to add more at additional expense after the development of the basic website package is completed.

Content Management Systems

All sites we develop are done using the WordPresscontent management system unless we are specifically asked to use another option. The use of a content management system will make site development work and increasing the functionality of your site easier for you in the future.

Responsive Website Design - $500.00

Price includes additional CSS design work necessary to produce a website that will automatically fit itself into the available screen widths necessary to display well across all potential internet devices. The site will be designed to scale itself to all screen widths used by devices such as mobile phones, tablets, laptops and desktop computers. This will allow it to display well no matter which device is used to view it. Responsive design leverages a single web presence and optimizes the user interface to the workflow of the device it is delivered to. That means no more pinching, scrolling and zooming to navigate around a web site that was never intended to be delivered to the compact view of a mobile device. Responsive Website Design solutions detect and adapt to the device viewing your site. As more and more people do their internet browsing from mobile phones and tablets, it is essential for website design to facilitate those needs. As potential customers view your site over smaller devices, having cutting edge design such as this can provide a significant competitive advantage.

Note that the cost of $500.00 is a ceiling. Your cost will likely be lower and will actually likely be free. We will just have to make sure all your current page content will adhere to Responsive Design principles. It is very possible that this will be done at no additional charge if all we have to do is utilize a theme that is responsive with no additional work necessary on your specific page content. But including your existing content may involve extensive re-coding to make it responsive in some cases. That is what this proposal item covers in case that becomes necessary. You’ll be notified of any additions to the cost this will involve as we go through each individual page, but judging from your existing content, I would not anticipate this to be much or to reach this $500.00 ceiling. All newly created content will be done to display responsively as part of the cost of that content/functionality and there will not be an additional charge to make it responsive.

E-Commerce Store System – $350.00

Price includes the first ten products to be included with the store. Additional products can be added individually at a cost of $15.00 each (click here to order). We will setup and configure your online E-Commerce system to your needs and walk you through the initial testing process to be sure everything is operational. We will customize every aspect of your store to fit seamlessly with your website design, assist you with product setup, and work on linking your store to whatever payment gateway you wish to use. We will also work with you on obtaining and implementing an SSL certificate for your site to maximize security for your customers to make them as comfortable as possible with the online ordering process. Here is an outline of all the functionality built into any E-Commerce Store system we develop:

I. Reports

A. Customer Reports — Provides purchasing histories by customer for total number of orders, total amount of all purchases, average amount of all purchases, and summary of total number of customers.

B. Product Reports – Custom product reports can be generated that filter by product, by order status and/or by date range.

C. Sales Reports – Provides summary of sales data including the following:

i. Year-to-date sales
ii. Quarter-to-date sales
iii. Month-to-date sales
iv. Week-to-date sales
v. Last Year sales
vi. Last Quarter sales
vii. Last Month’s sales
viii. Last 7 days sales
ix. Sales filtered by date range
x. Grand total sales
xi. Number of completed orders by status
xii. Sales per year report based on specified year

D. Sales Tax Reports – Provides sales tax information on all taxable sales including total taxable amount and total sales tax collected. This makes filing your monthly sales tax reports a breeze, at least for online sales.

E. Stock Reports – Provides data for each product with a defined inventory count, showing number of items in stock and designated threshold number.

II. Payment Systems – Payment systems allowed by store include multiple credit card oriented gateways (must have merchant account), PayPal, direct bank transfer, check/money order, COD and others.

III. Inventory Tracking – The store system allows you to input the number of items you have in stock for all products in your inventory. The stock system also allows you to define a threshold number for each product. At the point your number of items in stock hits the defined threshold number, the system will automatically send the site administrator an e-mail alert to notify you that you are getting low on the given product and that you need to replenish their stock for that product. This can be broken down by any defined product attribute as well, such as number of shirts you have in stock by size. So if you are running low only on one specific size of shirt, the system can alert you to replenish the stock of that size.

IV. Sales Tax – Allows for defined sales tax rates or automated sales tax calculation from the store system.

V. Catalog – The store system allows you to establish product categories and place each of your products within the proper category. Category pages are then be created that will display all products defined as being in that category. Category pages will have basic product information and will provide clickable links to individual product pages where full product details are displayed.

VI. File Downloads – The store system allows you to set up file downloads as products available for purchase. This way, if you want to provide specific files only upon purchase, the store system can accommodate that and keep track of all file purchases just as with any other product.

VII. Shipping Methods – The store system allows for defined flat rate shipping, United States Postal Service business accounts, UPS business accounts and FedEx business accounts. Integration with business accounts will require the purchase of premium plugins. Allowed shipping methods can be defined by product. When a customer adds a shippable item to their shopping cart, the store system allows them to obtain a shipping quote to see rates that will be charged for each available option so they can choose how their want their product(s) shipped or so they can just find out how much shipping will add to the product purchase price so they can make a more informed decision about their purchase. With defined flat rate shipping, you can set up any number of rates based on a large number of purchasing variables, such as item quantity.

VIII. Custom Pricing – The store system allows for customized pricing to allow flexibility. For instance, if you want to have a base price of say $5.00 for an item when one item is purchased, but you want to offer a deal based on quantity of purchase to provide a different price for larger orders, that is doable within this system.

IX. Role Based Pricing – If you wish to offer one price for new customers, and another price for previous customers, or members, or any other defined role within the system, that is also doable. When a user that is assigned the necessary role is logged in on the site, the system will automatically give them the price for their role. They will not see any other pricing options.

X. Product Attributes – You can assign any number of attributes to your products. For instance for tshirts, you might wish to designate a size attribute and a color attribute. Attributes can be set to increase or decrease the product price by a defined amount. So if you wish to charge an extra $2.00 for a 2XL tshirt as compared to all other sizes available, the attributes system allows for this.

XI. Limited Time Offers – If you have products that should only be available for a limited time, you can set the time at which the product availability will expire, and the system will not allow any further purchasing after that defined time.

XII. Automated Follow-ups – Any time a customer does not complete their order process for any reason, the status of their order will show as “Canceled”. An automated follow-up system can be set up to send an e-mail notifying the customer that they did not complete the order process. This will save you the time of having to manually check on these potential sales to make sure the customer didn’t just change their mind about ordering.

Events System/Mapping – $350.00

Price includes creation of the first five events. Additional events can be added under the Ongoing Site Maintenance hourly rates detailed in a later section within this proposal. Here is an outline of all the functionality built into any Events systems we develop:

I. Location – Location information can be input that will display on the event page along with a Google Map to that specified location.

A. Any site content that is location based can be set to display a Google Map on the page.
B. Locations can be set to specific latitude and longitude coordinates to provide precise mapping.

II. Start Time / End Time – Event times can be input to display starting times and ending times.

III. Upcoming Events page – All events that are in the future are automatically added to an Upcoming Events Page. When the day/time of the event passes, the event is automatically moved off this Upcoming Events page and sent to the Past Events page detailed below. No coding of the Upcoming Events or Past Events pages is required. The system will handle everything automatically.

IV. Upcoming Events slideshow/ticker – All events that are in the future can also be set up to display in a scrolling slideshow/ticker form. Each event title will display for a brief time, and then scroll up or to the side to be replaced with the next event title. This gives your website a nice motion effect to make it more vibrant. Each event title displayed is a clickable link that will take the user to the event page where all the details about the event can be found.

V. Events Calendar – Calendar automatically displays all the events in the system in an attractive visual format. Calendar can be displayed as page content or side column block content.

VIII. Google Calendar Integration (additional $100) – For this additional price, we can integrate your event calendar with Google Calendar and embed the Google Calendar created by importing your event data within a page on your site.

Membership System - $350.00

An advanced membership system will require the purchase of a premium plugin in addition to this setup price. We’d recommend the highly robust Paid Memberships Pro system for Wordpress, which would be included in this $350.00 cost for the first year, but would then be an additional $247 per year each year after the first. If memberships are to be sold through the site, the membership product will be considered one of the initial 10 products provided as part of the e-commerce store option. Price here includes full integration of the membership system with your e-commerce store system.

I. Membership types of any kind can be set up as products available for purchase within the online store.

II. Website roles can be designated automatically upon membership product purchase to allow for access to members only content that can be tiered to any number of defined membership levels.

III. Automated reminder system will e-mail paid members at a time designated by the site administrator to notify them that their membership will expire at that time and to urge membership renewal. Can be set to any number of days, weeks or months in advance of the membership expiration date.

IV. Notification system can e-mail a Membership chair or team when a new membership is purchased.

V. Purchases of memberships are automatically databased and exportable as a CSV or Excel file containing all needed member data (address, phone number, e-mail, etc)

Rotating Banner Ad System – $200.00

Price includes the setup/configuration of a rotating banner ad system on the site along with the creation of the first five ads to include in the ad bin. Additional ads can be created under the Website Maintenance hourly rates. Here is an outline of all the functionality included with any Rotating Banner Ad system we set up:

I. The rotating banner ad system allows the placement of an unlimited number of ads to display in whatever location(s) on your site you wish them to be.

II. Ads can be set up to appear on all pages of the site, or just one, or any number in between.

III. The following types of ads are facilitated:

A. Text/HTML Ad
B. Image Ad – Images can be uploaded at the point of ad creation

IV. Ad groups can be created to allow multiple ads in a single campaign or to group multiple campaigns together.

V. Time settings and ad duration settings that can be activated to limit when an ad displays are:

A. Ad activation date
B. Ad expiration date
C. Number of days

Business Directory – $200.00

Price includes the setup/configuration of a fully automated Business Directory system along with the first 10 businesses to be listed in the directory and training on the process of adding additional businesses. System includes a main page listing all categories of businesses, and a results page that will show all businesses in categories as chosen by end users. Each business listing includes fields for Company Name, Contact Person, E-Mail Address, Phone Number, Address, Website URL (with link), as well as a map to their location. Once the system is set up, new businesses can be added with no coding knowledge necessary. Subcategories can also be added but may require manual coding work to maintain as new subcategories are added, depending on how you want your main Business Directory page to display them. A Business Directory system can be used to promote businesses of your choice as a service to your end users and as a possible revenue generator as advertising. Reciprocal links from businesses you include will also serve to increase your scores on search engine results, so a business directory can also be a great tool for Search Engine Optimization.

Photo Galleries – $100.00

Price includes the setup/configuration of the Photo Galleries system along with the first three galleries you would like to include. Additional photo galleries can be added under the Website Maintenance hourly rates. Photos will display in a very attractive flash format or as an automated slideshow in an equally nice lightbox format.

Forums - $100.00

Price includes the setup of messageboard discussion forums and forum containers as needed on each site.

Messageboard discussion forums allow for community building and information exchange. Forums can be moderated and restricted to certain User Roles. You can also add Forum containers. Containers allow you to organize topics of discussion to include specific forums. For example, you could have a container called “Sports” that would hold the forums “Football”, “Basketball”, “Baseball” and “Other Sports” within it.

MailChimp Mailing List / Newsletter – $100.00

Price includes one mailing list/newsletter system, including archives. Additional mailing lists/newsletters can be added under the Website Maintenance hourly rates. Marketing your products/service/projects and keeping in touch with your customers/visitors is best handled through subscriber based mailing lists. Users can sign up to receive updates from you and you can reach them all by sending a single e-mail. Here is an outline of all the functionality built into any Mailchimp Mailing List / Newsletter system we develop:

I. Subscriber based mailing list – End users wishing to subscribe merely provide their e-mail address and designate which mailing list they wish to subscribe to (if you have multiple lists set up). Once subscribed, they will receive whatever you send through your mailing list by e-mail. For a MailChimp mailing list, price includes full integration of your website with your MailChimp account. This includes the setup of a form allowing your end-users to subscribe to your mailing list directly from your site without having to be steered to the MailChimp site. Integration between your website and your Mailchimp mailing list will be established for reporting purposes on Mailchimp.

II. Multiple Mailing List Segments allowed – If you have multiple topics where you want to send things and allow end users the option to subscribe to only the areas of interest to them, you can break up your mailing list by topic and have different subscriber bases for each segment. For example you could have one segment for your Newsletters and another for General Information.

III. Newsletters can be created and sent through each mailing list. Customized templates can be developed. Price includes the custom design of one template.

IV. Archives page – links all past newsletters sent through mailing list.

VI. Statistics – MailChimp has a remarkably thorough statistics and analytics system that will assist you

Contact Form - $50.00

Price includes the configuration of the website’s contact form. Functionality of the contact form is detailed below:

I. The sitewide contact form allows you to set up different categories for end users to select from. So if your operation has multiple departments, the contact form will allow you to designate a new category for each department, and can assign different recipient lists for the e-mails sent through the form for each category. So if an end user wants to e-mail the company President, for example, they just choose that category from the provided drop-down options, and the form submission will be sent to the company President’s e-mail address automatically.

II. Autoresponders can be set to thank the end user for their comment or question, notify them when they can expect a response, or anything else you’d want to convey in an automated manner. Each autoresponder can be tailored to each category.

III. Categories can be ordered in the displayed drop-down options exactly as you want them to appear through a weighting system.

E-Mail Addresses (Advanced) and Forwarding – $50.00

Price includes the setup of all e-mail addresses using the domain for the website. This functionality includes:

I. Domain specific e-mail addresses – Multiple @yourdomainhere.com e-mail addresses established for use with the site to cover all organization staff.

II. Boardofdirectors@yourdomainhere.com e-mail address – A single address for your board will be created and set to automatically forward to all members of the board. This allows board members to have collective e-mail discussion without having to constantly hunt for everyone’s e-mail addresses to put in the To: line of their e-mail. Just sending a message to the one e-mail address will reach everyone on the board. Note this does not have to be for a board of directors. That is just an example of how this functionality can work. It can be set up for staff@yourdomain.com, or whatever other email address you would want for a specific and limited group of people.

III. E-mail forwarding – All @yourdomainhere.com addresses will be set to automatically forward to each user’s normal e-mail so you do not have to mess with establishing new user accounts in your e-mail software unless you want to do so.

Social Media Sharing - $50.00

Price includes the setup of Facebook and Twitter graphic share buttons on any site content where they are desired. This will allow end users to share the content of your page with their social media network(s) and can be of great assistance in building word-of-mouth site traffic.

Countdown Clock – $25.00

Price includes the installation and configuration of the Countdown Clock feature, as well as block placement of the Countdown Clock wherever it is desired on the site. The Countdown Clock provides the ability to have a visual countdown on the site to any defined time for upcoming events of interest.

Polls – $25.00 each

A system that allows site administrators to build polls into their websites to gauge end user opinions on any subject is included with the basic content management system installation. Polls can be created and placed with all needed styling for $25.00 each.

Website Search

The entire website is indexed and search functionality is built into the content management system. Users merely use the search form in the search block by submitting keywords they wish to search for and the internal site search system will provide the page results.

Comments

A system that allows end-users to post comments about specific pages on the website is included with the basic content management system installation. Comment functionality is detailed below:

I. End users are able to add comments to pages that are set to allow comments. Comments are a direct way for site visitors to provide feedback on page content and allow for a more interactive site experience.

II. Comment privileges can be limited by User Roles through the Permissions section.

III. Comments can be moderated/edited/deleted by those with administrative privileges.

IV. Comments functionality can be disabled/enabled on a page specific basis or by content type.

User Management / Permissions

As part of the initial Wordpress setup/configuration charge, all user management functionality will be built into each website according to the needs of your organization. User Management / Permissions features include:

I. Registered users of the site can be assigned Roles of any variety. Some examples of site roles might be Board of Directors, Staff, Sponsors, Partners, Members (with different levels of membership also doable), Forum Moderator, Admin, etc, etc.

II. The system allows you to assign any number of Roles that you wish to any Users, or no Roles at all.

III. Users with no assigned Roles are either merely authenticated users (for people that have just registered) and anonymous users (for unregistered people that are browsing your site).

IV. Each User Role also has its own set of assigned Permissions. Permission settings for each Role allow you to tailor the website experience to each user type by granting access to various site functions only to certain Roles.

V. Individual Users can be blocked at any time if you find them to be problematic to the proper running of your site.

VI. With each page of site content, you are also able to control what Roles can access those pages with page accessibility settings. With this you can make pages or entire sections of your site accessible to only certain Roles.

A. If you wanted to take this to the farthest extreme possible, using Roles, Permissions and page accessibility settings, you could actually set up a different Role for every registered user on your site and grant different Permissions and page accessibility for every Role to where an entirely different website will display for each registered user of your site on an individual basis.

B. You can set up everything your staff needs in working with your organization online and make it accessible to the Staff or Board Roles only. These pages and files will then be kept completely private and inaccessible to the public.

C. Site Permissions allow you to give each Role a customized set of functionality available to them. If you wish to have staff writers able to add content to your site, you can add a Role for Writers and give that Role permission to create pages and stories. When those users are logged in, they will have that functionality made available to them where other users lacking that role will never see it as an option.

D. The number of permission settings and detail you can provide to what each Role can do is only limited by the amount of modular functionality you have built into the system. If there is ANYTHING that can be done through your site, there is a permission setting to allow only certain Roles to be able to perform those functions.

E. Administrative users set with an Admin Role can be set to have the full keys to the kingdom and able to access, modify, delete, add or do anything. You’d want to keep the number of people assigned with Administrative permissions to a minimum to avoid the potential for damage to the site by someone that doesn’t know what he or she is doing.

Anti-Spam Defenses

The reCAPTCHA system helps to eliminate form submissions, comments, and forum posts by spambots by forcing users to pass a simple visual test to prove they are a human before they are able to submit forms within your site, such as site registration, contact us, etc. This mostly eliminates any spam messages you will be forced to deal with in site forums, and messages sent to site e-mail addresses through webforms.

We install Akismet anti-spam system on every website. The Akismet system boasts that it’s advanced AI filters out comment, form and text spam with 99.99% accuracy.
